Videoconferencing equipment is expensive and the first consideration is to ensure that the right system is installed. The type of unit depends on the type of business, with a PC-based system being suitable for smaller companies. Most videoconferencing systems are purchased either direct or from resellers, dealers and distributors. For businesses which only require occasional videoconferencing, the hiring of a room and equipment in a business centre might be a better option.

The cost of videoconferencing means that it is largely the preserve of large companies. However, the price of videoconferencing equipment is starting to fall, with new systems entering the market priced from 5,000 pounds sterling and desktop systems available from 1,000 pounds sterling. The main videoconferencing systems include room systems, compact systems and rollabout systems.
